Skooltify: Simplifying Learning Management for Teachers and Students

Summary

Skooltify is an e-learning dashboard designed to streamline collaboration between schools, teachers, parents, and students. It centralizes academic workflows—ranging from student performance tracking to application management—into one easy-to-use platform.

The platform enables teachers to manage classes, exams, grading, and attendance, while providing parents and school administrators with visibility into performance and school activities. By simplifying how schools organize and communicate, SkooledIn supports better learning outcomes and stronger parent–school engagement.

Goal

The goal was to design and build a platform that simplifies academic management for teachers, enhances transparency for parents, and improves efficiency for schools.

Outcome

Post-launch, schools reported reduced manual workload for teachers, parents gained direct access to performance and notifications, and students experienced clearer feedback loops.

Defining the problem

Traditionally, schools and teachers managed student performance and school processes using fragmented tools or manual methods. With growing class sizes and multiple stakeholders (students, teachers, parents, school admins), this led to:

  • Difficulty tracking student progress and attendance.
  • Inefficiencies in managing applications and exam processes.
  • Limited visibility for parents into their child’s education.
  • Overwhelming manual tasks for teachers.

Problem Statement ✶︎ How might we help schools, teachers, and parents seamlessly collaborate on academic management and student performance tracking in one unified platform, ensuring transparency, efficiency, and engagement across all stakeholders?

Research Approach

Analysing competitors

We examined existing e-learning platforms and school management systems to identify gaps—particularly in user-friendly design, parent visibility, and integrated notifications.

  • Most platforms had fragmented workflows, forcing teachers to switch between multiple tools for grading, exams, and attendance.
  • Parents had limited visibility, often restricted to occasional reports rather than real-time performance tracking.
  • Notifications were weak, mostly email-based, with no consistent in-app or mobile alerts.
  • Dashboards were often cluttered and confusing, making navigation difficult for non-technical users.
  • Application and admission processes were handled offline or via third-party systems, creating extra manual work for schools.
  • Interview

Conducted interviews with 12 teachers, 8 parents, and 5 administrators across different schools. The aim was to uncover:

    • Teacher struggles with manual grading and attendance.
    • Parents’ frustration with lack of transparency.
    • Administrators’ need for efficient applicant tracking.

    Insights gathered

While each user type had a variety of needs and pain points, across all user types, it was clear to us that the most important takeaways were:

Teachers need tools that reduce administrative tasks so they can focus on teaching.

Parents desire real-time updates about grades, attendance, and school communication.

Schools want a simplified way to manage applications and fees digitally.

Existing tools were too fragmented, leading to duplication and confusion.

    Solution strategy

With insights in hand, we designed SkooledIn as a unified dashboard that serves all stakeholders. The design process emphasized simplicity, clarity, and transparency.

  • Class-level student lists
  • Attendance marking system
  • Exam creation with customizable formats and pass marks
  • Grading and student profile management
  • Child’s performance reports
  • Attendance updates
  • Notifications for exams, assignments, and announcements
  • School reviews and direct messaging
  • Application management system (fees, applicants, filtering by dates)
  • Total applicant dashboard
  • Live performance analytics
  • Navigation and layout
  • A dashboard-centered design: teachers, parents, and administrators see relevant data at first glance.
  • Clear separation of modules: Exams, Attendance, Applications, Messages, Notifications.
  • Consistent UI patterns to minimize learning curve.
  • Improved Workflows
  • For Teachers: One-click exam setup → grading → automatic report sharing with parents.
  • For Parents: Login → child profile → grades, attendance, school messages in real time.
  • For Admins: Applications overview → filter applicants → set fees → track payments.
  • Impact

  • Teachers saved time on attendance and grading, reporting up to 30% reduction in admin work.
  • Parents became more engaged through real-time updates and messaging.
  • Schools streamlined applications, leading to faster admissions cycles.
  • Overall, SkooledIn fostered transparency and improved the relationship between schools, parents, and students.
